Records Retention

Records retention is an area under increasing scrutiny for many companies, and many are currently undertaking efforts to understand and address the associated challenges and issues. Like many companies, Duke Energy is in the process of evaluating and revising its existing records retention policy. Stan Land, VP of Enterprise Application Services for Duke Energy, contacted IMF to request a ‘Connect on records retention to put him and other Duke executives in touch with peers at IMF Member companies to discuss this topic. This ‘Connect request was presented to the attendees at the Annual Executive Meeting in San Diego and several companies expressed interest in participating.
To accommodate the number of interested companies and allow for as much information exchange as possible, a conference call was held. Many thanks go out to Stan Land and Duke Energy for coordinating and hosting the call, and to Paul Arne, an Attorney at Morris, Manning & Martin, for his participation on the call and providing additional information for this summary.
On this call, participating Member companies discussed the challenges and issues they face in creating,
administering and enforcing their respective retention policies in this quickly evolving area. Records retention was discussed holistically, with the group addressing multiple media and formats, though particular attention was paid to email. The group also discussed some challenges a company should be prepared for in the case of permanent retention.
